Job Purpose:
To facilitate the financial management between the project management and accounting departments; as well as, assist the Controller in day-to-day accounting.

Responsibilities:

  • Job Billings
    • Construct and manage loan draws and schedules
    • Investigate all project expenses not billed to customers
    • Respond to requests for more detail from customers
    • Coordinate monthly progress billings for construction projects, ensuring timely, aggressive, and accurate billings and maximize working capital
    • Process accounts receivables, including preparation of monthly draw requests to projects funding source and subsequent monitoring of timely collection
  • Collections
    • Produce and analyze accounts receivable reports
    • Monitor potential high risk customers and concerns
    • Research and resolve escalated accounting inquiries
    • Review, develop and update policies/procedures as needed for AR and credit
    • Manage all the day-to-day accounts receivable and collection activities
    • Review collection reports to ascertain status of collection and balance outstanding and to evaluate effectiveness of current collection policies and procedures
    • Audit delinquent accounts considered to be uncollectable; ensure maximum efforts have been taken before assigning bad credit status to account
  • Project Accountant
    • Generate cost and budget reports to better manage projects
    • Investigate project variances and submit variance reports to management
    • Compile information for internal and external auditors, as required
    • Manage the projects cash flow. Ensure that all vendors are paid accurately and timely
    • Provide oversight and guidance throughout the cash flow life cycle of contracts, identifying key issues, problems areas and recommendations for resolution
    • Maintain appropriate documentation for all work in process projects, ensuring compliance with the company policies
    • Understand, educate and assist Project Managers in the completion of project forecasting and analysis, along with work authorization management
    • Prepare and distribute weekly work in process job effectiveness reports and take necessary actions to ensure compliance
    • Study existing control procedures and policies, present findings and make recommendations to management
    • Prepare and process journal and job cost entries
    • Ensure jobs are adequately insured
  • General Accounting   
    • Assist with annual budget
    • Understand and facilitate proper sales tax reporting in all applicable jurisdictions
    • Journal entries and account reconciliation
    • Ensure proper regulations and licensing for all new states
    • Assist Accounts Payable function when needed
    • Cross train on Payroll
    • Produce quarterly payroll tax filings
    • Prepare reconciliations and other work papers for annual audit
    • Submit and prepare, monthly/quarterly/annual sales and use tax filings
    • Ensure properly insured for workers compensation when entering new states.
    • Handle workers compensation audits


Skills/Qualifications:

  • Bachelor’s degree in Business/Accounting required
  • 5-7 years’ experience in Accounting
  • Construction experience desired – as this role will be involved with the day-to-day monitoring of construction projects
  • Multi-State experience preferred
  • Strong analytical capability with proficient Excel skills.Able to recognize errors and creatively solve problems
  • Highly organized, creative, always looking for ways to improve processes
  • High level of integrity, confidence and dependability to become a strong team member
